ECollect and Enrollment School and End Of Year Rollover
Article regarding Ecollect and the End of the Year.
Students in this school need to be inactivated so they will not be rolled over.
Before Rollover
- Run the PSCB \ Enrolllment\ Enrolllment Search - Student Entry/Exit while in the Enrollment school. Make note of the number of students.
- Export this files as a csv and save in the Historical Records folder for the year that is ending.
Google Path \ create a new folder for each year i.e., Year End 20-21) \ (create a Historical Reports folder in the new folder for the year.) - Copy the student numbers from the csv spreadsheet you created.
- Select Group Functions
- Type "enroll_status" (without quotes) into the Field to Change box
- Type "1' into the New Field Value box.
- Click Submit - It will show you the current setting, which will be zero for Active, and the new setting of 1 which is Inactive.
- Click Submit.
- Log this in the Change Log.
After Rollover
- Open the csv file you created above.
- Copy the student numbers.
- Select Group Functions
- Type "enroll_status" (without quotes) into the Field to Change box
- Type "0' into the New Field Value box. (zero)
- Click Submit - It will show you the current setting, which will be 1 (InActive) and the new setting which will be 0 (Active.)
- Click Submit.
- Check the number of records changed to make sure it matches the number of records in the csv spreadsheet.
- Log this in the Change Log.
