The End of Year as seen within the pre-registration portal is on July 1st of each year. After this date, the available options that families see will need to be updated. On July 1, each year, a user with permission to access to District Configuration in Enrollment Admin should do the following:
Make sure to save any changes to your pre-registration portal before enabling the portal to open it for families to access. You will also need to update your district webpage and other family-facing communications to give a clear date when your pre-registration page will be open.
Transition to Next School Year
Scheduling Incoming Enrollments
If you intend for the students in your Enrollment school to be available for scheduling in PowerScheduler at other schools, you will need to run the basic PowerScheduler Scenario setup steps up to setting the course catalog at the Enrollment school.
Next, you will need to set the ‘Schedule this student’ checkbox on students’ Scheduling Setup screens. With their Next_School and Sched_Nextyeargrade values set, the Enrollment school students should appear for users working in PowerScheduler at their Next_School.
Close Out the Current School Year
End of Year is our core process to promote your students to the next grade level and move students to their new schools. This is an indispensable read to prepare for End of Year.
End of Year (EOY) Process
You are now ready to begin the End of Year process.
You may have students in your Enrollment School with completed Ecollect Forms and which are ready to transfer to their new school as part of your SIS rollover. This process is part of moving students out of the Enrollment School.
Keep in mind. these students should be listed as pre-registered and have next school populated as well as next grade populated with grade level the student will be in (usually this is the same grade that the student was submitted for). This prevents a transfer note of “retained” appearing when it was not applicable.
Some parts of this checklist will not apply to all districts. The most important requirements would be making sure all students have their Next School and Next Year Grade indicators set before running End of Year. These values determine where a student will be in the system after End of Year.
More details on running the End of Year Process as well as what parts of the system are affected can be found in the following articles:
Confirm that the public portal is accessible (SIS)
Access to the public portal can be controlled either at the School level or the District-wide.
Start > School Setup > Parent/Student Access
Start > District Setup > Miscellaneous
In addition to the Parent portal options on those pages, you can also choose to suppress schedules for the upcoming year from displaying if you wish.
Confirm the School Year that is set as the default next school year (SIS)
Please note the Access Term that has been set will control not only what parents see, but also the term their responses to Ecollect forms will appear under if the form is set to reset on the school year. This article will guide you through the process of determining which classes display in the parent-student portal.
