End of Year Process

Important! Before Running End of Year, Go Through the End of Year Preparation Steps
Important! Before Beginning the Rollover, Contact EMS To Backup PowerSchool and Restore it to the test server

  1. Inactivate all students in these schools:
    1. Run query first and save data.
    2. Enrollment
    3. PreK Holding
    4. Test Accounts.
  2. Take the parent portal down. District > Miscellaneous > Check the box next to Disable Student and Parent Portals/Mobile Apps. Enter a message in the text box. 
  3. Backup PowerSchool – Pre-End-of-Year Backup (optional/recommended) - See second note above.
  4. Complete End-of-Year Setup (System Setup>  End of Year Process ) (required)
    1. Default Next School (required)
    2. Exit Codes (required) - actually it can be left blank. If so, PS State reports will look back at the last entry code and use that. 
    3. Entry Codes (required) - actually it can be left blank. If so, PS State reports will look back at the last entry code and use that. 
    4. Exit Comments (required)  Retained, Demoted, Promoted
    5. Fee Transfer Method (we do not use this.)
    6. Years and Terms for New Year  (The date ranges for the new year term are used to determine the Entry and Exit dates for new student school enrollments created by the EOY process.)
  5.  Perform End-of-Year Validation (required)
  6.  Review and Correct Errors (required)
  7. Perform End-of-Year Process (required)
    1. Verify Setup (optional/recommended)
    2. Confirmation (required)
    3. Start End-of-Year (required)
  8. Progress and Completion Message (required)
  9. Backup PowerSchool – Post-End-of-Year Backup (optional/recommended)
  10. Re-activate ENR and PreK Holding.
  11. Re-activate test accounts.
  12. Post EOY Tasks.
**If we leave the entry codes blank, the state reports will go back and look for the last entry code and use that.  We have tabled this for discussion before changing.
