How to Prepare a Student for Graduation During the End of Year Process
When running the End of Year Process, PowerSchool will promote or retain students based on the school and grade level the student is assigned to for the upcoming school year. However, to ensure that a student is graduated during the End of Year Process, the student must be configured to go to the Graduated Students School in grade level 99.
Set the Next Year Grade and Next School Indicator for an individual student
- Select the student.
- Navigate to the Scheduling Setup student screen.
- Set the Next Year Grade field to: 99
- Select Graduated Students from the Next School Indicator menu.
- Submit your changes.
Set the Next Year Grade and Next School Indicator for a group of students
- Select the group of students you wish to graduate during the End of Year Process.
- Select the Next School Indicator group function.
- Select the Graduated Students school from the menu.
- Click Submit. The Next School Indicator is set to the Graduated Students school for the selected students.
- Navigate back to the start page with the same selection of students.
- Navigate to the Student Field Value group function (Start Page > Special Functions > Group Functions > Student Field Value).
- Enter the following in the Field To Change field: sched_nextyeargrade
- Enter the following in the New Field Value field: 99
- Click Submit. PowerSchool will provide you with a list of students that will be affected by this group function.
- Verify that the changes are correct.
- Click Submit to confirm the changes.
When running the End of Year Process, any student with a Next Year Grade of 99 and a Next School Indicator of Graduated Students (school number 999999) will be graduated.
Note: PowerSchool does not include a function that allows administrators to graduate a student early. However, a workaround is available in article 9586.
