Transferring Students - In District

Transfer a Student

When students is leaving a school, use the “Transfer Out Of School” function. 

  1. Select the school where the student is currently enrolled.
  2. Search for the student
  3. Under the Enrollment heading in the sidebar, click Functions
  4. Click Transfer Out Of School
  5. Enter an Exit comment if you have any information about the transfer, such as the student moved to where and when. Also, enter your initials and the date into the Exit comment.
  6. Enter the date of transfer; the day after the last day the student attended. Note: The term selection in the upper right corner must be the term that covers the date when a student is transferred out. 
  7. Select the proper exit code
  8. Click Submit

NOTE: If the student has attendance records, you will see an error that attendance records exist. This could be real attendance or it could be people taking attendance for future dates. Before you are able to delete the attendance records check these things to make a determination:

  1. All Enrollments under Enrollments - this shows class enrollments. Did they take any classes during the school year?
  2. Under Historical Grades under Academics - did they receive any grades during the school year?
  3. Look at Attendance Info - Are there attendance records outside of the enrollment dates?
  4. Talk to the admin or Victor to see if anyone knows anything about the student.

Transfer the Student to Another School in the Same District

If the student is transferring to another BSD school, you must transfer them to that school. Again make sure you have the school selected where the student was enrolled, i.e. the "from" school not the new school.

  1. Complete all steps under Transfer a Student above. 
  2. Search for the inactive student who you transferred out of your school. 
  3. Click Functions
  4. Click Transfer To Another School
  5. Choose the school and click Submit student attended school

Enroll the Student in the New School

Now the student is enrolled as inactive in the new school. They now must be enrolled in the new school. Select the new school from the school drop down on the start page.

  1. Select the school where the student will be enrolled. 
  2. Search for the student.
  3. Click Functions
  4. Click Re-Enroll In School
  5. Complete all of the fields
  6. Click Submit
NOTE: If you are transferring students out of the Enrollment school, you must delete the dupe record that is created because of the ENR school enrollment. There is another enrollment record that exists after you transfer them, but there is a record for Enrollment under previous enrollments.

Search for Siblings

It's important to link siblings in PowerSchool for several reasons, one being there are some benefits that apply to all siblings, such as qualifying for direct certification (DC) for free lunches. 

  1. Click on the Family link in the student record. you may see siblings already linked.
  2. To check for siblings, click the Search for Additional Family Members at the bottom of the page.
  3. You can enter values in any of the fields, and/or you can press Submit when the checkbox in front of "Include Student's Last Name in Search" is checked. 
  4. If there are matches, click the Related checkbox.
  5. If any sibling is directly certified for free lunch, all siblings qualify so we want to check if all siblings have the DC checkbox selected on the Special Services page. If not, check it and enter the date in the "Date DC Last Updated" field.
  6. In the Service Notes add a note of the change you made, such as "Date, initials, updated DC to Yes because another sibling qualified."
