Middle Schools Scheduling Procedures

The "live-side" (from in PowerSchool Admin and not from Power Scheduler) scheduling process in PowerSchool creates both the master schedule and enrolls students into classes to create student schedules. The master schedule includes sections, teachers, rooms, facilities, departments, etc.

  1. Coordinate with the Data Systems Team that the years and terms, and the calendar has been setup. Verify term start and end dates.
  2. Change the Term to the new year term from the drop down in the upper right corner.
  3. Click on Master Schedule underneath the Functions category in the left navigation bar.
  4. You will see a page that will let you set up how you want to see the master schedule - a list or a grid. The first time you do this you will see only a Preference link. Once clicked, you will see a list of options. This is where you can set up your default preferences. You can always go back to your preferences to switch between the grid and the list. PowerSchool will remember what you chose the last time you entered preferences and will display the schedule according to those settings.
  5. On the Preferences page, you can control what data you are going to view. You can change these settings to see only specific periods, days, rooms, and teachers. Or you can choose the options that says "All Periods, All Days, All Rooms, and All Teachers." This will show you the complete schedule.
  6. At the bottom of the Preferences page, select how you want the schedule sorted.
  7. Select your preference for viewing the schedule - Matrix or List, examples of both are below. If you are setting up or changing scheduling, select Grid.

8. Select one of the Grid views to use the scheduling functionality.
9. Each class has a link that will take you to the section setup. Right click the link for the class you want to work with and select Open Link in New Tab. This will open the section setup in a new tab. You will have the Master Schedule grid in one tab that you will keep open so you can easily go back and forth between the class and the grid schedule.

10. The Edit Section page appears. On this screen you can change or set up everything about a class. Be sure the Term drop down is set for the new year term and not the current term.
11. There are new fields at the bottom of the page under the heading "Vermont State Information." Select the appropriate setting for each drop down. Note that the Course Term is not our list of terms, they are the term names that the AOE wants us to use.
12. Click Submit once you have all the details set up.
13. Go back to the tab that has the Master Schedule grid. Select your next class!
