Direct Cert Step 3: Format the AOE DC File

Previous Steps Required


The DC file must have specific fields in order to import the data to PowerSchool and Cafe Enterprise. 
  1. Open the file you downloaded in Step 2 using Google Sheets. Remove all columns except the following: 
    1. EnOrgID
    2. LCLStunum
    3. LName
    4. FName
    5. MName
    6. PostName
    7. DOB
    8. EnrBegDate
    9. DCERT_RUFA Student
    10. DCERT_SNAP Student
  2. Add three columns at the end and name them Direct Cert Status, 3Square, and ReachUp.
  3. Filter the sheet on the DCERT RUFA Student column to Yes. Enter a 1 in the DC Status column for each of these records. 
  4. With the filter still set to DCERT RUFA = Yes, enter a one in the ReachUP column.
  5. Remove the filter.
  6. Now filter on the DCERT SNAP Student for Yes values. Some may already have a 1 because they also have Yes in the RUFA column. So add another filter on the DC Status column where blank. Enter a 1 in the DC Status field for each one of these. 
  7. With the filter still in place, enter a 1 in the 3Square column for each of these. 
  8. Remove the filter.
  9. Set a filter on the DC Status column for blank values. Enter a zero for these records. 
  10. Remove the filter.

We will be importing this file into PowerSchool and in order to do that, the filed must be a text file (txt.) 
  1. Go to the File menu and select Download As and Tab-Separated Values (tsv.)
  2. Name the file DCImportToPowerSchool_MMYYYY where MM is the month and YYYY is the year. At the end of the name, change from tsv to txt. For example, PowerSchool_Import_052021.txt is May of 2021.
  3. Save the file to this location - to the correct folder year and the correct month. You will probably need to create the month folder. 

Proceed to Step 4: Import the Data into PowerSchool
