Direct Cert Step 4: Import Data into PowerSchool

Step 1: Upload SLDS Files

Step 2: Download the DC File From AOE Edfusion Website

Step 3: Direct Cert: Format the AOE DC File


After you formatted the spreadsheet document in Step 3, you created a text file that will be used to import data into PowerSchool. This is the process to do that. 


  1. In PowerSchool, go to SQL Reports. We want to take a snapshot of the counts before and after the import. 

  2. Open the Demographics category and run Demographic Counts All Prek and Demographics Counts by School BSDK-12. Copy both of these into a new spreadsheet. 

  3. Select Special Functions from the Start page.

  4. Select Importing and Exporting.

  5. Select Quick Import. 

  6. Click on the Table dropdown and select Students

  7. Click on the Choose File button.

  8. Browse to the text file you created in Step 3 Direct Cert: Format the AOE DC File.

  9. Click on Import.

  10. Map the following fields

    1. LCLSTUNUM -->> student_number

    2. DC Status --->> direct_cert

    3. 3SquareSNAP -->>square3

    4. ReachUpRUFA -->> ReachUp

  11. Select the checkbox next to "Check to exclude first row."

  12. Underneath that checkbox in the empty box, type the date that you downloaded the DC file from EdFusion

  13. Click on the dropdown next to that and select U_STUDENTS_EXTENSION_direct_cert_date.

  14. Under Advanced Import Options, Select "Update the student's record with the information from the file being imported."

  15. Select Submit. The import will take a few minutes to run. You will see the circle processing on your tab header in the browser.

  16. Run the Siblings report under the Food Service Category in SQL Reports and check for siblings that have different DC statuses. If one is Y the other should also be Y. 

  17. Now you will run the same two reports you ran in step 2.
