Direct Cert Step 5: Create the File for Cafe Enterprise

Step 1: Upload SLDS Files

Step 2: Download the DC File From AOE Edfusion Website

Step 3: Format the AOE DC File


Finally, you are ready to create the file that will be used to import the data to Cafe Enterprise. 

  1. In PowerSchool, go to SQL Reports, Food Service.
  2. Click on DC Report - Import to Cafe. Then click Submit on the next page. This report contains four subgroups as the last columns. These subgroups are not included in the DC file you get from the AOE. Any student in one of these groups automatically qualifies for free lunch. Let's make sure that any student with a Yes in any of those columns, has a Yes in the DCERT column.
  3. Filter the Homeless column by Yes. If there are any students with a No in the DCERT column, go to that student's record and check the Direct Cert checkbox on the Special Services page.
  4. Filter the STATEPLACED column by Yes. Be sure to remove the Yes filter from the Homeless column first. If there are any students with a No in the DCERT column, go to that student's record and check the Direct Cert checkbox on the Special Services page.
  5. Filter the MIGRANT STUDENT column by Yes. Be sure to remove the Yes filter from the STATEPLACED column first. If there are any students with a No in the DCERT column, go to that student's record and check the Direct Cert checkbox on the Special Services page.
  6. Remove all filters.
  7. Click on the CSV button to create a csv file. Store the file in this folder.
    You will now place the file in the folder where Heartland supports gets the file to import. In order to get to this location, you must be logged in to the BSD network. If off site, log into the remote system as you normally would.
  8. Open Windows File Explorer. You will need to connect to the Comalex server and the Exports folder. If you don't have a network drive mapped for this location, go to the Map a Network Drive function in Explorer and enter \\Comalex\Exports.
  9. Copy the file you saved in step 7 to this folder.

As of 6/7/2021, the HEADSTART column is not yet functional. 
One more step!!

In Zoho Analytics record the submission date in the Direct Cert Processing History log in the Misc. folder.

That concludes our mission of updating the DC file data in PowerSchool and creating the import file for Cafe.
