SLDS and OnTop Students

There are often times when an 8th grader attends OnTop full time, or attends a middle school and takes classes at OnTop. Because the AOE requires we submit OnTop data as BHS and BHS does not have 8th grade set up, this causes errors and requires numerous manual changes to the spreadsheets before they are submitted. To remedy, the student's enrolling school must be the middle school they would be attending if they were not attending OnTop/Horizons. 

This is the process for enrolling and coding OnTop 8th graders:

  1. Identify all 8th graders who are going to OnTop.
  2. Identify the class(es) these students are taking.
  3. Identify the section number of the class(es. )
  4. Identify the teacher of the class(es.)

OnTop Tasks
  1. Go to District Setup by selecting District as the school in the school dropdown. Then under Setup on the left, select District.
  2. Scroll down to Courses and select Courses. We will now make the class available to the middle school. 

    NOTE: Only the District school can assign courses to other schools. 

  3.  Open the course and click on the Availability tab. Add the middle school, likely EMS, to the right side which makes the class available to that school.
  4. Go to the teacher's account.  If you cannot find the teacher, talk to Karyn or Gloria. Essentially we are going to do the same thing with the teacher - give him/her access to the middle school.
    1. Click on Vermont State Information.
      1. Click on Vermont Staff Place of Service at the bottom of the page.
      2. If the middle school is not there,  add it via the Security Settings tab. Add the school on the first tab - PowerTeacher.

  2. tudents must be enrolled with the middle school they would be attending if they were not attending Horizons/OnTop
  3. In Course setup, make the class available to HMS and/or EMS. You can either do both or just the school that the student's are "attending."
  4. In CourseSection, there needs to be a row for the middles schools and the course section.
  5. There should be a row in POS assign the Teacher with the middle school(s)  POSID.
  6. There should be a row in POS Role Table to assign the teacher with the middle schools(s) POSID
  7. In StuSectionEnrollment, the EnOrgID for this course should be the middle school
  8. In StaffSecAsssignment there should be a row for the teacher with the middle school as the POS.
  9. In GradeProg, the student's POS should be the middle school.
