Procedures for Enrolling or Transferring PreK and K Students for a New Year - Gloria UPDATE

PreK to CPP Next Year
CPP enrollments are different. When a student enrolls in PreK and selects Community Partner Program as a school, they also must select a program (the ACT 166 school they want to attend.)
Kindergarten
1. All kids in ENR that register for K and do not currently attend a BSD school - Transfer according to Victor's spreadsheet.
2. All kids currently in PreK registering for K for next year.
a. Set the Next Grade to zero and the Next School according to Victor's spreadsheet and the rollover will create the enrollment. ORb. PreK to CPP Next Year
CPP enrollments are different. When a student enrolls in PreK and selects Community Partner Program as a school, they also must select a program (the ACT 166 school they want to attend.)
The name of the program is set up as a class in PowerSchool. So the student must be enrolled in a class.
We decided that the Data Team will be responsible for transferring students from the ENR school to CPP.
The Data Team will provide the PreK Admin an Ecollect Response Report which will show the program the parent has chosen. The report will include the six PreK school choices and the program name. The PreK Admin is responsible for enrolling the student in the class, entering the program name into the Homeroom field on the Admin Info page, and setting the Next Grade (-1 or -2) and Next School (CPP) on the Scheduling Setup page.
We did not discuss but need to :
CPP kids without a Next Grade, Next School. Some of these may be attending but others may not. It is recommended that the PreK Admin contact the parents, via email to learn of their plans for the upcoming year. Those not attending will be transferred out before the rollover.
PreK kids that will be 5 but do not have a Next Grade of K. Victor review these. I have created a new report which shows PreK students with their DOB and age. It is called PreK Next Year with Age.
