Submit Student File for Missing State IDs
To receive State IDs for students without one, follow this procedure.
- Export Report from PowerSchool
- Go to SQL5 Reports\Sys Admin\
- Missing State IDs in AOE Format
- Save as CSV Name with the file name 01_0_Student_Match in this location in Google Drive.
- If a student has a suffix (II, IV, Sr., Jr.) delete the suffix.
- Upload file to EdFusion.
- Go to: https://slds.education.vermont.gov/edFusion/Web/Login.aspx
- Log in using the credentials in Zoho labeled EdFusion
- Once logged in, go to Integrate and select Submission Upload.
- Under Domain select Match Submissions
- Click on Choose File and select your file from wherever you stored it.
- Click the Upload button.
- On the right side click Schedule Now.
- Once processed you will see a View Details link. Click that link.
- Click on the number underneath the Total column. Save the file in this location in Google Drive. Name the file "01_0_Student_Match - Results."
- The file will contain state IDs for those that match the AOE's master file. There may be others that did not match. Usually Glenn Bouchard sends an email shortly after with the state IDs that were not found. If you do not get an email from him, send him an bouchard@vermont.gov" target="_blank">email with the batch number and the number of records with missing IDs. He does not like to send detailed information about students. You can use initials.
- Update the students' records in PowerSchool.
- If you have many records to update, you can import the file by following these steps.
- Rename the columns to match the field names in PowerSchool ( i.e., student_number, state_student_number, etc.)
- Go to Special Functions, Importing and Exporting, and QuickImport
- Select the Students table
- Leave mapping checked.
- Check "Exclude 1st row"
- Check "Update Student's record with info."
- More likely there are just a few records in which case you can update the student record manually by looking up the student record and entering the ID on the Administrative Info page. import, follow these steps.
