Homeschool Students Processing Instructions

This document describes the procedure for processing homeschool students. The school admin is responsible for these tasks because they know everything and anything about their students. You will use an Ecollect form called Homeschool Information to enter information about the student's homeschool arrangement.

In general, when a student goes from homestudy to school or school to homestudy, a transfer is required.

Homeschool Types

There are 4 types of homeschool students:
  1. Homeschool taking classes 
  2. Homeschool extracurricular
  3. Homeschool no classes/activities
  4. Homeschool receiving services


How does a student becomes a homeschool student?

The parent must follow the State regulations for submitting an application. The State approval can take anywhere from 2-4 weeks (because of COVID the approval may vary.) The parent then brings proof that they applied by bringing to school one of the following: Cognito receipt, Sent email, USPS proof of mailing. The student must attend school until the application is approved. Any day before the approval that the student is not in school is considered an unexcused absence.

School Admin Instructions for PowerSchool coding

  1.  Obtain the correct Homeschool List from Google Drive. We get updated version monthly or sooner.
  2. Complete the HomeSchool form on the student record. Select Forms, and look under the Internal Forms heading. Select HomeSchool Information.
  3. Fill in the form as follows:
    1.  Enter the approval status from the Homeschool List :
      1. If the student has not been approved by the State yet, click the Homeschooler Pending box.
      2. If the student has been approved, click Homeschooler Approved box.
    2. Indicate the student's involvement with a school.
      1. If the student is taking classes, click Homeschool Taking Classes
      2. If the student is taking an extra-curricular activity, check Homeschool Extra Curricular Activity
      3. If the student is receiving special services, click Homeschool Receiving Services.
      4. If the student is not going to have any interaction with the school, check Homeschool No Classes or Activities.
    3. Enter the Hours Per Week
      1. If you checked Homeschool Taking Classes or Homeschool Receiving Services, enter the Class(es) or Services Hours Per Week.
      2. If the student is taking extra-curricular activities, enter the Extra-Curricular Activities Hours Per Week.
    4. Enter any comments if needed.

Once you Submit the form, an email is sent to the Data Team. We will then transfer the student out to home school as applicable. When the transfer is done, you will receive a notification via email.
Note: In addition to the HomeSchool Information Form, this data is also shown on the Administrative Info page under the State Census Data as shown below.

Printing a report. There is a report that shows all homeschool information that you entered. Go to SQLReports, Special Services, HomeSchool Students.
